Role & Responsibilities

As an Operations Manager and PMO, should be responsible for owning and driving all program management needs and activities for the COO office with a vision to expand to cover the whole enterprise program management needs. You should coordinate timelines, contingencies and dependencies of work plans as well as communicate progress and drive decision-making at an executive level.

Below are the roles and responsibilities :

A. Operations Manager: Should be involved in tracking deadlines, deliverables, resources, and timelines for various initiatives across the functions in the business. You should hold owners accountable for their commitments, conduct project team meetings to provide status updates to COO to help resolve the issues.

  • Finance - Ensure Gross Margins of different projects are evaluated monthly and SOWs renewals are being tracked
  • HR – review and maintain up to date - like Business Process HR Structure,  onboarding, buddy for every new joinee.  All employees goals to be defined by the HR Team
  • Recruitment - Understand Forecast bottlenecks and track 100% fulfilment of all open positions in projects BU wise – 0% revenue leakages.
  • Operations - Track Operations across all Functions, Create Operation Dashboard & highlight reviews on timely basis
  • Delivery - Tracking of Delivery using Red, Yellow, Green status on CSAT, Effort (planned vs actuals), resource fulfilment, Commercials (SOW, resourcing, delivery metrics, invoicing and margin), dashboard (Review processes, Highlight Challenges, Track assignments and bring it to the notice of COO)

B. PMO – COO office:

  • Manage the COO’s Inbox and Calendar
  • Maintain task list along with prioritization
  • Conduct Review meetings related to
    • Existing Business growth
    • Margin Improvements
    • Track MBRs and QBRs, etc
  • Plan for Leadership workshops & Townhalls
  • Review the preparedness, Objectives and expected outcomes before accepting the calendar invites
  • Maintain COO Org Structure upto date along with clarity of KPIs, goals and Targets for all direct reportees and skip level reportees
  • Customer visit planning and Organize schedule
  • Ensure preparation for internal management reviews (weekly, monthly, quarterly)
  • Organize meetings effectively adhering to time
  • Avoid ad hoc meetings / walk ins
